Set a bounded preorder window, disclose realistic delivery terms, order from paid size demand with a controlled buffer, and manage delays, refunds, and fulfillment.

When is a preorder better than stocking inventory?

Use a preorder when demand or size distribution is uncertain, the item has a meaningful minimum order, production begins after a campaign threshold, or the artist wants a bounded edition without financing the full run. In-stock inventory is better when immediate delivery drives the sale, supplier lead times are unreliable, the team cannot manage updates, or the product can be reordered cheaply. Print-on-demand can reduce inventory further but changes unit cost, quality control, packaging, and delivery consistency. A preorder should solve a defined risk, not hide lack of preparation. Confirm that the supplier can quote and schedule the likely range, that the store supports preorder status correctly, and that the customer experience remains worthwhile despite the wait.

What must be confirmed before the preorder opens?

Approve a physical sample or documented production proof, artwork rights, color, materials, measurements, size chart, care information, packaging, labeling, safety information where relevant, supplier, minimums, breakpoints, setup fees, taxes, freight, duties, production window, capacity, defect policy, replacement path, and payment schedule. Model low, expected, and high order cases by variant. Decide the opening and closing time, countries served, payment timing, shipping charge, mixed in-stock and preorder behavior, address-change process, cancellation and refund policy, exchange limitations, and support coverage. Obtain written supplier commitments rather than building a campaign around a verbal estimate. Shopify currently says its preorder function can support products not yet available and may collect full, partial, or no payment, but it requires a preorder app and is currently limited to specified payment setups. Product and payment availability can change, so verify the active store before launch. Test discount codes, tax, inventory reservation, authorization expiry, failed balance collection, refunds, address edits, order exports, notifications, split carts, analytics, and app-data retention. Restrict app permissions, export necessary preorder records, and understand what happens if the app is removed. Never store full card data or move payment collection into an insecure manual process.

How should production and fulfillment be managed?

Give the supplier one approved purchase order and record deposit, proof approval, production start, quality check, completion, freight, customs, warehouse receipt, and packing milestones. Inspect a representative sample on arrival, count cartons and variants, quarantine defects, and reconcile inventory before labels print. Match order rules for split shipments, bundles, local pickup, international customs, address changes, and exchanges. Use scan-based pick and pack where possible and preserve tracking. Hold a replacement reserve until delivery issues stabilize. Do not send every customer a tracking number merely because a label was created; distinguish label creation, carrier acceptance, movement, and delivery. Keep the support team informed so buyers receive consistent answers instead of supplier speculation.
